Managing Your Subscription

Learn how to manage your Kaana subscription.

Accessing Billing

  1. Go to your profile icon in the top right of the page

  2. Select Billing

Note: Requires Owner role.

Subscription Overview

View your current subscription:

  • Current plan

  • Billing cycle (monthly/annual)

  • Next billing date

  • Number of seats

  • Current cost

Changing Your Plan

Upgrade

Move to a higher plan:

  1. Click Change Plan

  2. Select the new plan

  3. Review what's included

  4. See price difference

  5. Click Upgrade

Upgrades are effective immediately. You'll be charged the prorated difference.

Downgrade

Move to a lower plan:

  1. Click Change Plan

  2. Select the new plan

  3. Review what you'll lose

  4. Click Downgrade

Downgrades take effect at the end of your current billing period.

Managing Seats

Add Seats

  1. Click Add Seats

  2. Enter how many to add

  3. See prorated cost

  4. Click Add

New seats are available immediately.

Remove Seats

  1. Click Remove Seats

  2. Enter how many to remove

  3. Note: Must deactivate users first

  4. Click Remove

Changes take effect at next billing cycle.

Billing Cycle

Switch to Annual

Save money with annual billing:

  1. Click Switch to Annual

  2. Review annual price

  3. See your savings

  4. Confirm change

Switch to Monthly

Go back to monthly billing:

  1. Click Switch to Monthly

  2. Review monthly price

  3. Confirm change

Changes apply at next renewal.

Payment History

View Invoices

  1. Go to Billing

  2. Click Payment History

  3. See all past invoices

  4. Download PDFs

Invoice Details

Each invoice shows:

  • Invoice date

  • Amount

  • Payment status

  • Items included

Pause Subscription

Temporarily pause your subscription:

  1. Click Pause Subscription

  2. Select pause duration

  3. Confirm

During pause:

  • Access is limited

  • Data is preserved

  • Billing stops

Resume anytime to restore access.

Cancel Subscription

To cancel:

  1. Click Cancel Subscription

  2. Provide reason (optional)

  3. Review what happens

  4. Confirm cancellation

After cancellation:

  • Access continues until period end

  • Data is retained temporarily

  • You can resubscribe later

Reactivating

After cancellation, reactivate:

  1. Log in to Kaana

  2. You'll see reactivation prompt

  3. Choose a plan

  4. Enter payment info

  5. Access is restored

Billing Contact

Update who receives billing emails:

  1. Go to Billing

  2. Click Billing Contact

  3. Enter email address

  4. Save

Billing Issues

Failed Payment

If payment fails:

  1. You'll receive notification

  2. Update payment method

  3. Retry payment

  • Check payment history

  • Review your plan details

  • Contact support if needed
